1. Who we are
Codex Relay (“we,” “our,” “us”) is an AI phone receptionist service for tradesmen and service businesses. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
2. Information we collect
Information you give us directly. When you join our waitlist, we collect your email address and, optionally, your company name and trade (electrical, plumbing, HVAC, etc.). If you later become a paying customer, we will collect additional information such as your name, phone number, business address, and billing information (processed by our payment provider, Stripe).
Information collected automatically. When you visit codexrelay.com, we automatically receive standard web log information, including your IP address, browser type, referring page, and the time and date of your visit. We also capture your user-agent string when you submit the waitlist form.
Call and SMS data (paid service, not collected during waitlist phase). When the Service is operational for you, we will process call audio, transcripts, SMS content, and metadata such as phone numbers, timestamps, and call duration. This data is necessary to provide the AI receptionist service.
3. How we use your information
We use the information we collect to:
- Operate, maintain, and improve the Service;
- Notify you when early access is available and respond to your inquiries;
- Send service-related communications (such as onboarding instructions, billing notices, and product updates);
- Prevent abuse of the Service, enforce our Terms, and comply with legal obligations;
- Aggregate and analyze usage in a de-identified manner to understand how the Service is used and to improve it.
We do not sell your personal information. We do not share it with third parties for their own marketing purposes.
4. How we share your information
We share information only with service providers who help us operate Codex Relay, and only to the extent necessary. These providers include:
- Supabase — database and authentication infrastructure;
- Netlify — website hosting and deploy infrastructure;
- Stripe — payment processing (when paid plans launch);
- Twilio — telephony and SMS delivery (during the paid service);
- Bland AI — voice AI for call answering (during the paid service);
- Resend or similar — transactional and product email delivery.
We may also disclose information if required by law, to establish or defend legal claims, or to protect the rights, safety, or property of Codex Relay or others.
5. SMS messaging and telephony
When you become a paying customer and connect your business phone number, you authorize Codex Relay to send SMS messages on your behalf to callers who contact that number. Callers may receive job confirmations, scheduling messages, and service-related updates. Standard message and data rates from their carrier may apply.
Any recipient of a Codex Relay SMS may opt out at any time by replying STOP. Opt-out requests are honored immediately.
Phone numbers and SMS content collected through the Service will not be sold, rented, or shared with third parties for marketing purposes.
6. Cookies and analytics
Codex Relay uses only essential cookies required to operate the site (such as those set by our hosting provider). We do not use third-party advertising cookies during the waitlist phase. If we add analytics in the future, we will update this Policy and provide notice.
7. Data retention
We retain waitlist signups until you request deletion or we decide to close the waitlist. Customer account data is retained for as long as your account is active, plus a reasonable period afterward to comply with legal and accounting obligations.
Call audio recordings and transcripts (when Service is operational) are retained for a limited period that will be documented at the time of onboarding, and can be deleted on request subject to legal hold requirements.
8. Your rights
You may request to: access the personal information we hold about you; correct inaccurate information; delete your information (subject to legal retention requirements); or object to certain uses of your information.
To exercise any of these rights, email hello@codexrelay.com. We will respond within a reasonable time, typically within thirty (30) days.
Residents of California, Virginia, Colorado, Connecticut, Utah, and other jurisdictions with comprehensive privacy laws may have additional rights under applicable law. We honor those rights upon verified request.
9. Security
We implement industry-standard technical and organizational measures to protect your information, including encryption in transit, restricted access to production systems, and Row-Level-Security on our database. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
10. Children's privacy
Codex Relay is not directed to children under 16 and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
11. International users
Codex Relay is operated from the United States. If you are accessing the Service from outside the US, please be aware that your information will be transferred to, stored, and processed in the US. By using the Service, you consent to that transfer.
12. Changes to this Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the “Last updated” date at the top of this page and, if the changes are significant, by emailing you at the address you provided.
